  • General

    • Can I register onsite?

      Onsite registration opens at 12:00 PM on Saturday, April 14, 2018 at the main lobby of the Henry B. Gonzalez Convention Center. RIMS accepts American Express, VISA, MasterCard, cash, corporate/personal/travelers checks or money orders payable in US Dollars drawn from a US bank.

      Please note​​: Onsite registration fees are non-refundable.

    • How can I change my contact information?

      You may update your contact information by logging on to www.RIMS.org/MyProfileOnce you have logged in using your email address and password, click on “Edit” next to individual information. You may also change your password on this page. Updating your RIMS profile does not update your conference registration contact information, to edit your registration profile, please send your current information to RIMS_Registration@goeShow.com

    • How can I receive a Taxpayer Identification Number (W-9)?

      You can download a completed W-9 form on our website at www.RIMS.org/W9.

    • When do I need my badge?

      Only persons registered for this conference and wearing the proper badge will be admitted to educational sessions, Marketplace Exhibit Halls, RIMS meal functions and receptions. For security and safety, badges must be worn at all times.

      Anyone found to be counterfeiting, copying or sharing conference name badges, or using a guest badge when ineligible to do so, may be subject to sanctions up to and including removal from the conference and revocation of RIMS membership.

  • Continuing Education Credits

    • How can I purchase Continuing Education Accreditation and what is the fee?

      You can select to purchase the CE Credits during the registration process or you can log in at www.RIMS.org/AttendeeCenter to upgrade your registration to add the Continuing Education. Attendees at RIMS 2018 can earn credits toward CEU/CLE/CPE CREDITS certification or one RIMS Fellow credit. There is a one-time, non-refundable application fee of US $100 for RIMS members and US $150 for non-members. This fee covers all license types inclusively. You will not need a separate fee for each license. Session seating is not guaranteed, so please arrive early to your selected sessions. Details are available at www.RIMS.org/CE.

  • Education Sessions

    • How can I sign up for the sessions that I want to attend?

      To add or change sessions and networking events, go to www.RIMS.org/AttendeeCenter​

      Although, it is not required to reserve your seat, making your selections in advance helps RIMS determine the size of the meeting room needed to accommodate all interested participants.

    • When will the handouts be available? Where can I download them?

      Session handouts will be available during RIMS 2018 via mobile app, in the "Events and Sessions by Day" section. You can also access the presentations by using the Attendee Service Center online (login is required).

    • Where can I find the current schedule?

      The current schedule is available at www.RIMS.org/Sessions.

  • Registration & RIMS Membership

    • Am I member? Do I have to be a member to register?

      You may contact cst@RIMS.org to inquire as to your membership status. One does not have to be a member of RIMS in order to register for the Conference. Non-members will be charged the non-member rate while members will remit the member rate.

    • Can I get the 3rd member discount?

      Only professional members in the organizational membership are entitled to receive the 3rd member discount.

      In order to be eligible to receive the 3rd member discount, two professional members must be registered for the full conference and paid in full from the same organization. They must also be a current member.

      Any subsequent professional member with a current RIMS membership and currently listed on the same organizational membership are entitled to receive the discount. Registration does not have to take place on the same day. 

    • Can I purchase an event ticket to attend a single event?

      Access to events are included in the registration package you have selected. You have two event ticket options available to purchase for your guest, the RIMS Opening Reception ticket is available for purchase at US $150 and the Guest Registration is a package event option for your guest to attend the Opening Reception, RIMS General Session & Opening Keynote and Conference Finale & Closing Keynote at US $300. However, there is no ticket available for guests to attend the Awards Luncheon & Leadership Keynote.

      Please note: These event tickets are non refundable and there are no single tickets available for purchase for the RIMS General Session & Opening Keynote and Conference Finale & Closing Keynote. 

      Monday Registrant may attend the RIMS Opening Reception, General Session and Opening Keynote.

      Tuesday Registrant requires to purchase a ticket to attend the RIMS Opening Reception for US $150.

      Wednesday Registrant may attend Wednesday Conference Finale and Closing Keynote. This requires the purchase of a ticket to attend the RIMS Opening Reception for US $150.

    • Can I purchase an exhibit hall only pass or a single day pass?

      The Marketplace Exhibit Hall only pass is not an available registration option for RIMS 2018. However, single day full registration is available for each day and this includes all conference access on the day of you have selected. For registration fees and options visit www.RIMS.org/Register.

    • Can I register by phone, mail, or fax?

      Phone, mail and faxed registrations are accepted with a valid credit card payment and will incur a US $25.00 non-refundable service fee per registrant. Forms received with a promise to pay by check or bank transfer will not be processed. Faxed submissions are typically processed within 3-5 business days.

      To avoid the service fee, register online at www.RIMS.org/Register​. Option to pay by check and bank transfer are available online. 

      Please note: Registration is pending until full payment is received.
    • Do I get a discount if I am not listed as a member, but my company is?

      To receive a member rate, all registrants must be listed as a member under their organization’s membership. To add a member under your organization’s membership, please contact cst@RIMS.org. Non-members will pay the non-member rate.

    • How can I become a member?

      You may become a member by completing the online membership application located at www.RIMS.org/jointoday. You may also download the appropriate membership application form and email to CST@RIMS.org or fax to +1 212-655-7430.

    • How can I cancel my registration? What is the cancellation policy?

      Requests for upgrades may be done online by editing your registration at www.RIMS.org/AttendeeCenter​​.

      Requests for cancellations/refunds and registration downgrades must be submitted in writing by February 16, 2018, by emailing rims_registration@goeshow.com. All requests are subject to a US $100 administrative fee. Refunds are not given after February 16, 2018, and RIMS will not reimburse you if you do not attend.

      Please note: All administrative fees, additional registration items (such as the continuing education credit fee and the guest ticket fee[s]) and onsite registration fees are non-refundable.

      Refund requests for payments made by check will be issued, less US $250 administrative fee, within 60 days following the conference.

      Refund requests for payments made by credit card will be issued, less US $250 administrative fee, within 10 business days after confirmation of receiving the request.

      RIMS reserves the right to cancel this conference if force majeure conditions warrant. In the event of such a cancellation, registration fees will be refunded. However, RIMS is not responsible for any travel or lodging expenses incurred due to cancellation of the conference. If for any reason you must cancel your conference registration, please remember to cancel your housing arrangements separately. RIMS is not responsible for hotel no-show fees or any travel or lodging expenses you might incur.

    • How can I receive another copy of my registration confirmation?

      You can log in to the Attendee Resource Center at www.RIMS.org/AttendeeCenter​ to retrieve a copy of your registration confirmation. You may also contact the registration call center at RIMS_Registration@goeShow.com or +1-800-251-8630 for Domestic Callers and +1-508-743-8503 for International Callers.

    • How can I register my guest to attend RIMS events?

      Guests (21+ years) will require a Guest Registration to attend the following events:

      • Opening Reception on Sunday, April 15, 2018
      • General Session and Opening Keynote on Monday, April 16, 2018
      • Conference Finale and Closing Keynote on Wednesday, April 18, 2018

      Only full conference attendees may purchase a Guest Registration (limit of 1) for US $300. A guest is defined as a spouse, significant other, family member or friend whose occupation is unrelated to the risk and insurance management profession. A co-worker or associate within the profession is not eligible for guest registration.  Guest registration includes RIMS shuttle bus transportation between a RIMS hotel and the Pennsylvania Convention Center. Guest registration does not include access to educational sessions, and thus guests are not eligible for continuing education credits, nor does the guest badge permit access to the Marketplace Exhibit Hall. 

      Please note: Guests of attendees will receive different badges from other participants. It is against RIMS policy to register someone in the guest category who does not meet with the aforementioned guest criteria.

      Opening Reception Event Ticket – US $150

      You don’t have to be registered for the conference to mix and mingle with your industry peers. Each attendee is permitted to purchase up to five event tickets for colleagues to access the Opening Reception! This ticket includes RIMS shuttle bus transportation between a RIMS hotel and at the MOSAIC Reception. This ticket does not include access to any other RIMS event. Access to Opening Reception is limited to people 21 years of age and older.

    • How do I transfer from Non-member to member? Can I get refund?

      If you registered for the conference as a non-member and subsequently became a member of RIMS, you may request a change in registration and a refund for the difference between the member and non-member rate via email to cst@RIMS.org.

    • How do I transfer my registration to a colleague?

      Requests to substitute or transfer your registration must be submitted in writing by April 11, 2018 by emailing rims_registration@goeshow.com. All requests must be in writing on corporate stationery and are subject to a US $100 administrative fee. After April 11, 2018, requests to substitute or transfer your registration must be presented onsite at the Henry B. Gonzalez Convention Center and are subject to a US $150 administrative fee. 

      All substitutions are subject to an administrative fee, plus any additional fees due to differences in the member type, e.g., transferring a member registration to a non-member registration. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution.​

    • What are the registration deadlines and fees?

      Advance Rate ends 2/16/2018, Regular Rate ends 4/13/2018, and Onsite Rate begins 4/14/2018. Registration fees for member range from US $975 – US $1275 and non-member rate range from US $1350 – US $1750. For a complete list of registration fees, please visit www.RIMS.org/Register.

    • What are the registration hours?

    • When will I receive my registration confirmation email with a QR code?

      You will receive two email confirmations, the first confirmation email will be sent 20 minutes after completion of conference registration, thus allowing registrant to book their hotel accommodations and receive a unified registration and housing confirmation. The second email confirmation is the “Know Before You Go” email, which will be sent approximately one week prior to the conference. The QR code will be included on both emails.

    • Where can I pick-up my badge?

      All badges (except Speakers - Speaker Center Room- 221A) will be printed at Broad Street Atrium  entrance of the Henry B. Gonzalez Convention Center. Photo identification (and full payment) will be required to retrieve your badge.

    • Where can I print a registration form?

      You have the option to register online, or print the registration form at www.RIMS.org/Register. To register by fax, or by mail click here to download the registration form

    • Certificate of Insurance?

      Prior to the upcoming RIMS 2018 Annual Conference & Exhibition, exhibiting companies must procure, pay for and maintain business insurance coverage. The Certificate of Insurance, which may be requested from your company’s insurance provider, must be submitted electronically to Rainprotection Insurance (RIMS Official Service Provider) at Sales@rainprotection.net no later than Friday, April 6, 2018.

    • How can I become an Exhibitor?

      Please visit www.RIMS.org/Exhibits and click on START​ at the bottom of the page to begin reserving a booth for the RIMS 2018 Annual Conference and Exhibition.

    • What is the booth cancellation policy?

      CANCELLATION/DOWNSIZING

      Cancellation of or downsizing of any exhibit space must be made in writing. Downsizing may result in a relocation depending upon the location and booth orientation in order to maximize available space. Written notice of cancellation/downsizing of booth space is subject to the applicable fee per 10x10 booth space as noted below. The refund schedule will be strictly followed for cancellation of all, or a portion of any exhibit space. When written notification is received:

      ▪ Up to August 31, 2017 – No fee;

      ▪ September 1 – September 28, 2017 - $1,500 fee;

      ▪ On or after September 29, 2017 – NO REFUND regardless of the reason for cancelling/ downsizing, including the failure of an exhibit to arrive on site. 

    • What is the cost to exhibit and what is included?

      The exhibitor is responsible for providing all booth furnishings, including carpet, tables, chairs, etc. Electricity and other utility connections are not provided with the space, but can be ordered. *Deadlines apply​​

    • When is the booth deadline?

      Booth Application deadline is April 14, 2018. However, in order to be included in the printed Conference guide, an application must be submitted by February 17, 2018. 

  • Exhibitor Registration

    • Can I bring my family or friends to RIMS events?

      Access to all events is limited to people 21 years of age or older. ECOMP and Full Conference Attendee may purchase an Opening Reception ticket for US$150 (limit 5 tickets) and a Guest Registration to attend all three events: Opening Reception, General Session and Opening Keynote, Conference Finale and Closing Keynote (limit of 1) for US$300.

    • Can I purchase an additional ECOMP badge?

      Additional ECOMPs are not available for purchase. You must purchase a full conference registration at attendee rates by visiting www.RIMS.org/Register​

    • Do I have to pay a fee to modify or substitute my staff badges?

      Requests to substitute or transfer your registration must be submitted in writing by April 14, 2018 by emailing rims_registration@goeshow.com. All requests must be in writing on corporate stationery and are subject to a US $100 administrative fee. After April 14, 2018, requests to substitute or transfer your registration must be presented onsite at the Pennsylvania Convention Center and are subject to a US $150 administrative fee.

    • How can I change my company name on my registration?

      ECOMPs and Booth Personnel badges must read the exhibiting company name, or an approved exhibiting subsidiary company name. If a different company name is required, the main contact of the exhibiting company must approve and complete a Subsidiary Listing Form and is subject to a US $1,500 fee.

    • How can I purchase an additional booth personnel badge?

      Additional booth staff badges can be purchased simply through Exhibitor registration process. Please login to the Booth Personnel Registration in the registration console and click ‘Add Booth Personnel. Additional Booth Personnel badges may be purchased at the following rates: * Additional US$25 non-refundable service fee per badge will be added for all registration requests by phone, email and fax.

    • How do I modify or substitute my staff badges?

      Badges may be modified online at any time, including onsite throughout the Conference.

      To edit/substitute your booth personnel, simply login to the online exhibitor registration system at www.RIMS.org/ExLogin. Go to the Exhibitor Staff Registration Roster > click the ‘human icon’ next to the name of the individual you wish to register or click on the new individual button on the bottom of the pate to start adding new booth staff.

      To substitute an ECOMP, follow the steps above to access the Exhibitor Staff Registration Roster to delete the original ECOMP name first, then go to the ECOMP Registration tab to add the new ECOMP as a new registration.

    • How many registration badges does my company have and do I have to register my staff?

      Each exhibiting company is entitled to three booth personnel badges and one (ECOMP) Exhibitor Complimentary Full Conference Registration for every 10x10 booth space. Booth Personnel and ECOMP allotments are according to the total size of the booth, to view your allotment go to www.RIMS.org/ExReg.

    • I am trying to login to register my booth staff, but why I cannot find my company on the company name pull down list?

      To assign your badge allotment, booth space must be paid in full. If you recently mailed your payment, please allow 5 business days for your payment to be posted. Please contact ExhibitorServices@rims.org if you need any further assistance.

    • What are the exhibitor registration deadlines?

    • What is difference between ECOMP and Booth Personnel badge access?

      ECOMPs are considered full conference registrants and are eligible to attend educational sessions, food functions, keynotes, networking events and access to the exhibit hall. Tickets are not needed to attend any of these events. Badges are required for admittance to all events.

      Booth Personnel badges can access the exhibit hall to staff a booth, attend the Opening Reception, Exhibit Hall Networking Events and the Conference Finale (badge is required).

    • What is my login to manage exhibit badge allotment?

      You have the same password to manage your exhibit booth profile and exhibitor registration, the exhibit main contact can retrieve password by going to www.RIMS.org/ExLogin to access the Forgot Password link.

    • When will I receive my registration confirmation email?

      ECOMPs will receive two email registration confirmations with QR codes. The first confirmation email will be sent after the initial registration and the second email confirmation, the “Know Before You Go”, will be sent one week before the Conference. However, booth staff will only receive one email confirmation one week before the conference.

    • Where can I find Exhibitor Registration Policies and Procedures?

    • Where can I find or print out my company roster?

      To view or print out your company roster, simply login to the online exhibitor service center at www.RIMS.org/ExLogin then go to the Exhibitor Staff Registration/Roster tab where you will find the "Click to View Sales Statement".

    • How can I change the company name in the Exhibitor Directory?

      Send your company name change request to ExhibitorServices@RIMS.org.

    • What is my company password to manage our company profile and exhibit badge allotment?

      The exhibit main contact can retrieve password to email to ExhibitorServices@RIMS.org

    • When will I receive the post-conference attendee mailing?

      The Post-Conference Attendee Mail List will be available for purchase in May. The list will contain mailing address only; no phone, fax or email. RIMS does not release email addresses. An email notification will be sent to the exhibiting main contact when the list is available with instructions on how to purchase the list.

    • When will I receive the pre-conference attendee mailing List?

      Exhibitors are entitled to a complimentary one-time use of the pre-conference attendee mail list to promote their presence at RIMS 2018. The first list will be available on February 15, 2018 and the second list will be available on March 22, 2018. The list will contain mailing address only; no phone, fax or email. RIMS does not release email addresses.  An email notification will be sent to the exhibiting main contact when the list is available with instructions on how to access the list.

    • Where can I download the conference logo for my marketing purposes?

    • Where can I find shipping labels and freigt information?

    • Where can I pick up my registration badge if I pre-registered?

      All badges (except Speakers - Speaker Center RM- 221A) are printed onsite at the Pre-Registered Check-In counter located in the main lobby of the Henry B. Gonzalez Convention Center. Government issued photo-id is required to pick-up your registration credential.

    • Where is onsite registration located?

      Onsite registration is located at the main lobby of the Henry B. Gonzalez Convention Center. Photo identification will be required.

  • General

    • Can additional speakers to be added on-site?

      Yes, if you did not reach your required speaker limit. All speakers will need to purchase a full conference access pass for US $500, a savings of up to US $800 off the attendee advance rate. This pass provides access to the entire conference and to RIMS preferred housing. Speaking at RIMS enhances your career and, as a proud supporter of the Society, it is our hope that you will take advantage of this reduced rate.

      · Note: If you cancel your speaking engagement, RIMS will cancel your registration and hotel room. If you are still attending the conference, you will need to pay the difference in registration cost.

    • Can all speakers be from one company?

      ​RIMS policy limits the number of speakers allowed from one company. Only one representative from a company, including subsidiaries, is permitted on a session.

      • 60 minutes session is limited to two speakers, including a risk manager.
      • 90 minutes session is limited to three speakers, including a risk manager.
    • Can an unemployed risk professional be a speaker in my education session?

      ​Yes. Unemployed or retired risk managers are allowed to speak.

    • Can I add additional speakers?

      We ask that you follow the guidelines of the speaker limit. However, if the topic requires additional expert(s), RIMS will review the request and make a decision.

    • Can I request a list of attendees registered for my education session?

      RIMS does not release names of attendees due to the privacy act laws. Speakers are asked to develop a flexible presentation that fits the title and description of the session.

    • Can I request a specific room set-up for my education session?

      RIMS will set all session rooms. If you have a specific set-up contact Speakers@RIMS.org.

    • Can I still coordinate a session if I change my job/company?

      ​Yes, as the submitter and expert on the topic, the session belongs to you and not the company.​

    • Can the required risk manager speaking role just introduce the session and speakers and not deliver education content?

      It is mandatory that each session have a risk manager with a speaking role. The attendees need to hear the views of a risk manager on a given topic. If you add a risk manager to your session who does not have a major speaking role, this is a violation of RIMS policy and RIMS reserves the right to cancel your session or to prohibit you from speaking at a future conference.

    • Do I need to be a member of RIMS to become a speaker?

      No, however you must be qualified to speak on the topic of interest. You will need to submit a session submission form with your speaking topic.       Submission process opens in June, 2018. You will need to submit your topic by July, 2018 for consideration to present at RIMS 2019.

    • Can I bring my family or friends to RIMS Events?

      Guests (21+ years) will require a Guest Registration to attend all three events: Opening Reception, General Session and Opening Keynote and Wednesday Conference Finale and Closing Keynote. Only full conference attendees may purchase a Guest Registration (limit of 1) for US $300. A guest is defined as a spouse, significant other, family member or friend whose occupation is unrelated to the risk and insurance management profession. A co-worker or associate within the profession is not eligible for guest registration. Guest registration includes RIMS shuttle bus transportation between a RIMS hotel and the Pennsylvania Convention Center. Guest registration does not include access to educational sessions, and thus guests are not eligible for continuing education credits, nor does the guest badge permit access to the Marketplace Exhibit Hall. 

      Please note: Guests of attendees will receive different badges from other participants. It is against RIMS policy to register someone in the guest category who does not meet with the aforementioned guest criteria.

      Opening Reception Event Ticket – US $150
      You don’t have to be registered for the conference to mix and mingle with your industry peers. Each attendee is permitted to purchase up to 5 event tickets for colleagues to access the Opening Party! This ticket includes RIMS shuttle bus transportation between a RIMS hotel and the Franklin Institute. This ticket does not include access to any other RIMS event.
