  • General

    • Can I register onsite?

      Onsite registration opens on Saturday, April 25th at 12:00 pm at Lobby A of the Ernest N. Morial Convention Center. RIMS accepts American Express, VISA, MasterCard, cash, corporate/personal/travelers checks or money orders payable in US Dollars drawn from a US bank.

      Please note​​: Onsite registration fees are non-refundable.

    • How can I change my contact information?

      You may update your contact information by logging on to www.RIMS.org/MyProfile. Once you have logged in using your email address and password, click on “Edit” next to individual information. You may also change your password on this page. Updating your RIMS profile does not update your conference registration contact information, to edit your registration profile, please send your current information to RIMS@XpressReg.net.

    • How can I receive a Taxpayer Identification Number (W-9)?

      You can download a completed W-9 form on our website at www.RIMS.org/W9.

    • When do I need my badge?

      Only persons registered for this conference and wearing the proper badge will be admitted to educational sessions, RIMS meal functions and receptions. For security and safety, badges must be worn at all times.

      Anyone found to be counterfeiting, copying or sharing conference name badges, or using a guest badge when ineligible to do so, may be subject to sanctions up to and including removal from the conference and revocation of RIMS membership.

    • Where can I send my check or wire transfer payments?

  • Continuing Education Credits

    • How can I purchase Continuing Education Accreditation and what is the fee?

      You can select to purchase the CE Credits during the registration process or you can log in at www.rims.org/AttendeeCenter to upgrade your registration to add the Continuing Education. Attendees at RIMS ’15 can earn credits toward CEU/CLE/CPE CREDITS certification or one RIMS Fellow credit. There is a one-time, non-refundable application fee of US $99 for RIMS members and US $149 for non-members. This fee covers all license types inclusively. You will not need a separate fee for each license. Session seating is not guaranteed, so please arrive early to your selected sessions. Details are available at www.RIMS.org/CeCredits.

  • Education Sessions

    • How can I sign up for the sessions that I want to attend?

      To add or change sessions and networking events, go to www.RIMS.org/AttendeeCenter

      Although, it is not required to reserve your seat, making your selections in advance helps RIMS determine the size of the meeting room needed to accommodate all interested participants.

    • When will the handouts be available? Where can I download them?

      RIMS has replaced session handouts with electronic versions. Session handouts will be available prior, during and after the conference on the RIMS ’15 Mobile App and in the RIMS website at www.RIMS.org/handouts.

    • Where can I find the current schedule?

      The current schedule is available at www.RIMS.org/Sessions.

  • Registration & RIMS Membership

    • Am I member? Do I have to be a member to register?

      You may contact cst@RIMS.org to inquire as to your membership status. One does not have to be a member of RIMS in order to register for the Conference. Non-members will be charged the non-member rate while members will remit the member rate.

    • Can I get the 3rd member discount?

      Only professional members in the organizational membership are entitled to receive the 3rd member discount.

      In order to be eligible to receive the 3rd member discount, two professional members must be registered for the full conference and paid in full in the same organizational membership with a current membership.

      Any subsequent professional member with a current RIMS membership and currently listed on the same organizational membership are entitled to receive the discount. Registration does not have to take place on the same day. 

    • Can I purchase an event ticket to attend a single event?

      Access to events are included in the registration package you have selected. You have two event ticket options available to purchase for your guest, the RIMS Opening Reception ticket is available for purchase at US $100 and the Guest Registration is a package event option for your guest to attend the Opening Reception, RIMS General Session & Opening Keynote and Conference Finale & Closing Keynote at US $300. However, there is no ticket available for guests to attend the Awards Luncheon & Leadership Keynote.

      Please note: These event tickets are non refundable and there are no single tickets available for purchase for the RIMS General Session & Opening Keynote and Conference Finale & Closing Keynote. 

      Monday Registrant may attend the RIMS Opening Reception, General Session and Opening Keynote.

      Tuesday Registrant requires to purchase a ticket to attend the RIMS Opening Reception for US $100.

      Wednesday Registrant may attend Wednesday Conference Finale and Closing Keynote. Requires to purchase a ticket to attend the RIMS Opening Reception for US $100.

    • Can I purchase an exhibit hall only pass or a single day pass?

      The exhibit hall only pass is not an available registration option for RIMS ’15. However, single day full registration is available for each day and this includes all conference access on the day of you have selected. For registration fees and options visit www.RIMS.org/Register.

    • Can I register by phone, mail, or fax?

      Phone, mail and faxed registrations are accepted with a valid credit card payment and will incur a US $15.00 non-refundable service fee per registrant. Forms received with a promise to pay by check or bank transfer will not be processed. Faxed submissions are typically processed within 3-5 business days.

      To avoid the service fee, register online at www.RIMS.org/Register. Option to pay by check and bank transfer are available online. Please note: Registration is pending until full payment is received.
    • Do I get a discount if I am not listed as a member, but my company is?

      To receive a member rate, all registrants must be listed as a member under their organization’s membership. To add a member under your organization’s membership, please contact cst@RIMS.org.  Non-members will pay the non-member rate.

    • How can I become a member?

      You may become a member by completing the online membership application located at www.RIMS.org/jointoday.  You may also download the appropriate membership application form and email to CST@RIMS.org or fax to +1 212-655-7430.

    • How can I cancel my registration? What is the cancellation policy?

      Requests for cancellations/refunds and registration downgrades must be submitted in writing by March 20, 2015, by emailing RIMS@XPressReg.net. All requests are subject to a US $100 administrative fee. Refunds are not given after March 20, 2015, and RIMS will not reimburse you if you do not attend. 

      Please note: All onsite registrations are not refundable.

    • How can I receive another copy of my registration confirmation?

      You can log in to the Attendee Resource Center at www.RIMS.org/AttendeeCenter to retrieve a copy of your registration confirmation. You may also contact the registration call center at  RIMS@XPressReg.net  or +1 800-251-8630 for Domestic Callers and +1 508-743-8503 for International Callers.

    • How can I register my guest to attend RIMS events?

      Guests (21+ years) will require a Guest Registration to attend the following events:

      • Opening Reception on Sunday, April 26th
      • General Session and Opening Keynote on Monday, April 27th
      • Conference Finale and Closing Keynote on Wednesday, April 29th

      Only full conference attendees may purchase a Guest Registration (limit of 1) for US $300. A guest is defined as a spouse, significant other, family member or friend whose occupation is unrelated to the risk and insurance management profession. A co-worker or associate within the profession is not eligible for guest registration.  Guest registration includes RIMS shuttle bus transportation between a RIMS hotel and the Ernest N. Morial Convention Center. Guest registration does not include access to educational sessions, and thus guests are not eligible for continuing education credits, nor does the guest badge permit access to the exhibit hall. Please note: Guests of attendees will receive different badges from other participants. It is against RIMS policy to register someone in the guest category who does not meet with the aforementioned guest criteria.

      Opening Reception Event Ticket – US $100
      Each attendee is permitted to purchase up to 5 event tickets for colleagues to access the Opening Party! This ticket includes RIMS shuttle bus transportation between a RIMS hotel and ​The Mardi Gras World. This ticket does not include access to any other RIMS event. Access to Opening Reception is limited to people 21 years of age and older.  (5 tickets limit per registrant)
    • How do I transfer from Non-member to member? Can I get refund?

      If you registered for the conference as a non-member and subsequently became a member of RIMS, you may request a change in registration and a refund for the difference between the member and non-member rate via email to cst@RIMS.org.

    • How do I transfer my registration to a colleague?

      Requests to substitute or transfer your registration must be submitted in writing by April 17, 2015 by emailing RIMS@XPressReg.net. All requests must be in writing and are subject to a US $100 administrative fee. After April 17, 2015, requests to substitute or transfer your registration must be presented at the Attendee Onsite Registration at the Lobby A of the Ernest N. Morial Convention Center and are subject to a US $150 administrative fee. 

      All substitutions are subject to an administrative fee, plus any additional fees due to differences in the member type, e.g., transferring a member registration to a non-member registration. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution.
    • What are the registration deadlines and fees?

      Advance Rate ends 2/20/15, Regular Rate ends 4/24/15, Onsite Rate begins 4/25/15. Registration fees for member range from US $945 – US $1240 and non member rate range from US $1295 – US $1695. For a complete list of registration fees, please visit www.RIMS.org/Register.

    • What are the registration hours?

    • When will I receive my registration confirmation email with a QR code?

      You will receive two email confirmations, the first confirmation email will be sent 20 minutes after completion of conference registration, thus allowing registrant to book their hotel accommodations and receive a unified registration and housing confirmation. The second email confirmation is the “Know Before You Go” email, which will be sent approximately one week prior to the conference. The QR code will be included on both emails.

    • Where can I pick-up my badge?

      All badges will be printed at Lobby B1 of the Ernest N. Morial Convention Center. Photo identification (and full payment) will be required to retrieve your badge.

    • Where can I print a registration form?

      You have the option to register online, or print the registration form at www.RIMS.org/Register. To register by fax, or by mail click here to download the registration form.

  • General

    • Certificate of Insurance?

      ​Prior to the upcoming RIMS ‘15 Annual Conference & Exhibition, exhibiting companies must procure, pay for and maintain business insurance coverage. The Certificate of Insurance, which may be requested from your company’s insurance provider, must be submitted to RIMS no later than Tuesday, March 31, 2015. 

      Limits of coverage:

      • The Risk and Insurance Management Society, Inc. (RIMS), Ernest N. Morial Convention Center (MCCNO) and FREEMAN must be named as an Additional Insureds for all liability coverage and the Certificate of Insurance must state that fact in the Description/Special provisions section of the Certificate of Insurance.
      • Certificates holder Risk and Insurance Management Society, Inc., 5 Bryant Park, 13th Fl., New York, NY 10018.
      • Commercial General Liability Insurance including Personal Injury Liability and Contractual Liability with limits of liability for bodily injury and property damage of not less than $1,000,000 combined single limit.
      • Workers’ Compensation and Employee Liability Insurance, including All Other States Endorsement. The limit of liability under the Employee Liability section of the Workers’ Compensation Insurance policy shall not be less than $100,000.
      • Business Automobile Liability Insurance should include limits of not less than $1,000,000 for bodily injury and property damage resulting from any one occurrence.
      • RIMS and/or FREEMAN and MCCNO will not be responsible for any loss or damage to any tools, equipment, property or materials of the exhibitors. It is therefore recommended that your company maintain its own insurance for these items and take appropriate action for your protection​. 
      • Certificates of Insurance must cover Wednesday, April 22, 2015 through Friday, May 01, 2015.

    • How can I become an Exhibitor?

      ​Please visit  www.RIMS.org/Exhibits. Click on START at the bottom of the page to begin reserving a booth for the RIMS ’15 Annual  Conference and Exhibition.

    • What is the booth cancellation policy?

      ​Cancellation of all or a portion of any exhibit space must be made in writing. Downsizing may result in a relocation depending upon the location and booth orientation in order to maximize available space. Written notice of cancellation/downsizing of booth space is subject to the application fee per 10x10 booth space as noted below. Below refund schedule will be strictly followed:

      • Up to September 5, 2014 – No Fee
      • September 6 – October 3, 2014 – US $500
      • October 4 – October 31, 2014 – US $1,000
      • On or after November 1, 2014 – No REFUND regardless of the reason for cancelling/downsizing, including the failure of an exhibition to arrive on site.

    • What is the cost to exhibit and what is included?

    • When is the booth deadline?

      ​Booth Application deadline is April 17, 2015. However, in order to be included in the printed Conference guide, an application must be submitted by February 13, 2015.

  • Exhibitor Registration

    • Can I bring my family or friends to RIMS events?

      Access to all events is limited to people 21 years of age or older. ECOMP and Full Conference Attendee may purchase an Opening Reception ticket for US$100 (limit 5 tickets) and a Guest Registration to attend all three events: Opening Reception, General Session and Opening Keynote, Conference Finale and Closing Keynote (limit of 1) for US$300.

    • Can I purchase an additional ECOMP badge?

      Additional ECOMPs are not available for purchase, you must purchase a full conference registration at attendee rates by visiting www.RIMS.org/Register.

    • Do I have to pay a fee to modify or substitute my staff badges?

      Booth Personnel substitution process online are at no charge through April 24, 2015; substitution request through phone, fax and email will incur a US$15 non-refundable service fee  per badge.  A US$50 substitution fee applies after 4/24.

      ECOMPs can be added and substituted without a fee through the online registration system through April 24, 2015. Any ECOMP transaction and substitution request through fax, phone and email will incur a fee per badge (please refer to the registration rates listed at www.rims.org/ExRates). After April 24, 2015, all onsite fees apply and will be charged a US$150 to add or substitute ECOMP(s).

    • How can I change my company name on my registration?

      ECOMPs and Booth Personnel badges must read the exhibiting company name, or an approved exhibiting subsidiary company name. If a different company name is required, the main contact of the exhibiting company must approve and complete a Subsidiary Listing Form and is subject to a US$300 fee.

    • How can I purchase an additional booth personnel badge?

      Additional booth staff badges can be purchased simply through Exhibitor registration process. Please login to the Booth Personnel Registration in the registration console and click ‘Add Booth Personnel’. Additional Booth Personnel badges may be purchased at the following rates: * Additional US$15 non-refundable service fee per badge will be added for all registration requests by phone, email and fax.

      • By February 20, 2015 – *US $150
      • February 21 – April 24, 2015 –*US $200
      • After April 24, 2015 – *US $250

    • How do I modify or substitute my staff badges?

      Badges may be modified online at any time, including onsite throughout the Conference.

      To edit/substitute your booth personnel, simply login to  the online exhibitor registration system at www.RIMS.org/ExReg. Go to the Booth Personnel tab and scroll down to the Exhibitor Registration Roster > click on Update or the pencil icon next to the name of the registrant then type over the new information.

      To substitute an ECOMP, follow the steps above to access the Exhibitor Registration Roster to delete the original ECOMP name first, then go to the ECOMP Registration tab to add the new ECOMP as a new registration. If you need assistance, email RIMS@xpressreg.net, or call 508-743-8503 or toll-free 800-251-8630.

    • How many registration badges does my company have and do I have to register my staff?

      ​Each exhibiting company is entitled to three booth personnel badges and one (ECOMP) Exhibitor Complimentary Full Conference Registration for every 10x10 booth space. Booth Personnel  and ECOMP allotments are according to the total size of the booth, to view your allotment go to www.RIMS.org/Allotments. To register your staff, please visit our website at  www.rims.org/ExReg.

    • I am trying to login to register my booth staff, but why I cannot find my company on the company name pull down list?

      To assign your badge allotment, booth space must be paid in full. If you recently mailed your payment, please allow 10 days for your payment to be posted. Please contact ExhibitorServices@rims.org if you need any further assistance.

    • What are the exhibitor registration deadlines?

    • What is difference between ECOMP and Booth Personnel badge access?

      ECOMPs are considered full conference registrants and are eligible to attend educational sessions, food functions, keynotes, networking events and access to the exhibit hall. Tickets are not needed to attend any of these events. Badges are required for admittance to all events.

      Booth Personnel badges can access the exhibit hall to staff a booth, attend the Opening Reception, Exhibit Hall Networking Events and the Conference Finale (badge is required).

    • What is my login to manage exhibit badge allotment?

      You have the same password to manage your exhibit booth profile and exhibitor registration, the exhibit main contact can retrieve password by going to www.RIMS.org/ExLogin to access the Forgot Password link.

    • When will I receive my registration confirmation email?

      ECOMPs will receive two email registration confirmations with QR codes. The first confirmation email will be sent after the initial registration and the second email confirmation, the “Know Before You Go”, will be sent one week before the Conference. However, booth staff will only receive one email confirmation one week before the conference.

    • Where can I find Exhibitor Registration Policies and Procedures?

    • Where can I find or print out my company roster?

      To view or print out your company roster, simply login to the online exhibitor registration system at www.RIMS.org/ExReg  then go to the Booth Personnel tab  where you will find the "Printer-Friendly Exhibitor Registration Roster".

    • How can I change the company name in the Exhibitor Directory?

      Send your company name change request to ExhibitorServices@RIMS.org.

    • What is my company password to manage our company profile and exhibit badge allotment?

      You have the same password to access both systems, the exhibit main contact can retrieve password by going to www.RIMS.org/ExLogin to access the Forgot Password link.

    • When will I receive the post-conference attendee mailing?

      The ​Post-Conference Attendee Mail List will be available for purchase on May 28, 2015. The list will contain mailing address only; no phone, fax or email. RIMS does not release email address.  An email notification will be sent to exhibiting main contact when the list is available with instructions on how to purchase the list.

    • When will I receive the pre-conference attendee mailing List?

      Exhibitors are entitled to a complimentary one-time use of the pre-conference attendee mail list to promote their presence at RIMS ’15. The first list will be available on March 6, 2015 and the second list will be available on March 27, 2015. The list will contain mailing address only; no phone, fax or email. RIMS does not release email address.  An email notification will be sent to exhibiting main contact when the list is available with instructions on how to access the list.

    • Where can I download the conference logo for my marketing purposes?

    • Where can I find shipping labels and freigt information?

    • Where can I pick up my registration badge if I pre-registered?

      All badges are printed onsite at the Pre-Registered Check-In counter located in Lobby B1 of the Ernest N. Morial Convention Center, New Orleans. Government issued photo-id is required to pick-up your registration credential.

    • Where is onsite registration located?

      Onsite registration is located in Lobby A of the Ernest N. Morial Convention Center. Photo identification will be required.

    • Can additional speakers to be added on-site?

      ​It is imperative that all additional speakers be approved by the Annual Conference Programming Committee or by RIMS Director of Meetings and Events. Without approval or verification, additional speakers will be charged a one day registration fee of US $600(Member) / US $730(Non-Member).

    • Can all speakers be from one company?

      • 60 minutes session is limited to two speakers, including a risk manager.
      • 120 minutes session is limited to four speakers, including a risk manager.
    • Can an unemployed risk professional be a speaker in my education session?

      ​Yes. Unemployed or retired risk managers are allowed to speak.

    • Can I add additional speakers?

      ​We ask that you follow the guidelines of the speaker limit. However, if the topic requires additional expert(s), RIMS will review the request and make a decision.

    • Can I reequest a specific room set-up for my education session?

      ​RIMS will set all session rooms. If you have a specific set-up contact Speakers@RIMS.org. RIMS will advise you of your room set-up details by Wednesday, April 1, 2015.

    • Can I request a list of attendees registered for my education session?

      ​RIMS does not release names of attendees due to the privacy act laws. Speakers are asked to develop a flexible presentation that fits the title and description of the session.

    • Can I still coordinate a session if I change my job/company?

      ​Yes, as the submitter and expert on the topic, the session belongs to you and not the company.

    • Can the required risk manager speaking role just introduce the session and speakers and not deliver education content?

      ​It is mandatory that each session have a risk manager with a speaking role. The attendees need to hear the views of a risk manager on a given topic. If you add a risk manager to your session who does not have a major speaking role, this is a violation of RIMS policy and RIMS reserves the right to cancel your session or to prohibit you from speaking at a future conference.

    • Do I need to be a member of RIMS to become a speaker?

      ​No, however you must be qualified to speak on the topic of interest. You will need to submit a session submission form with your speaking topic.

    • How can I change my contact information (phone, street address etc.)?

      ​Visit www.RIMS.org/MyProfile, you will be prompted to login with your email address and password →Click on Edit →Click on Save located at bottom of page after changes.

    • How do I register?

      ​RIMS will automatically register all speakers for the day(s) speaking; registration for the day only is complimentary.

    • How do I reserve a hotel room and upgrade my conference registration category?

      You must be registered for RIMS '15 before you can secure housing. RIMS will automatically register all speakers for the day(s) speaking; registration for the day only is complimentary. Once you have been registered, you will receive an email confirmation that will provide the housing link and the option to upgrade your registration at a discounted rate of $500 for the entire conference.     • Is there a specific template for PowerPoint presentations?

      ​ACPC is the RIMS Annual Conference Programming Committee. The ACPC is assigned to a certain number of sessions and works with the primary contacts to meet deadlines.

    • What is the deadline date to submit an education session to present at the RIMS 2016 Annual Conference & Education?

      ​Submission process opens in May, 2015. You will need to submit your topic by July 17, 2015 for consideration to present at RIMS ’16.

      ​The deadline to upload your presentation is Friday, April 10, 2015.  If there is a change to your presentation, bring a copy of the updated PPT on a USB to the speaker ready room (EMCC, 211).

    • Can I bring my family or friends to RIMS Events?

      Guests (21+ years) will require a Guest Registration to attend all three events: Opening Reception, General Session and Opening Keynote and Wednesday Conference Finale and Closing Keynote. Only full conference attendees may purchase a Guest Registration (limit of 1) for US $300. A guest is defined as a spouse, significant other, family member or friend whose occupation is unrelated to the risk and insurance management profession. A co-worker or associate within the profession is not eligible for guest registration.  Guest registration includes RIMS shuttle bus transportation between a RIMS hotel and the Ernest N. Morial Convention Center. Guest registration does not include access to educational sessions, and thus guests are not eligible for continuing education credits, nor does the guest badge permit access to the exhibit hall. Please note: Guests of attendees will receive different badges from other participants. It is against RIMS policy to register someone in the guest category who does not meet with the aforementioned guest criteria.

      Opening Reception Event Ticket – US $100
      You don’t have to be registered for the conference to mix and mingle with your industry peers. Each attendee is permitted to purchase up to 5 event tickets for colleagues to access the Opening Party! This ticket includes RIMS shuttle bus transportation between a RIMS hotel and The Mardi Gras World. This ticket does not include access to any other RIMS event.
